Update:

Companies across the globe are reporting that they have been struck by a major ransomware cyber-attack today, similar to the cyber-attack we blogged about last month. Ukrainian firms, including the state power company and Kiev's main airport, were among the first to report issues. With Interpol "closely monitoring" the situation and liaising with its member countries, experts suggest that the malware is taking advantage of the same weaknesses used by the Wannacry attack last month.

The Need for Electronic Records Retention Policies

Posted by Greg Smith

Mar 31, 2017 3:52:32 PM

Organizations need to look at defining a formalized retention policy for electronic records and email documents. This policy should be based on the organization’s retention needs from statutory and legal perspectives, as well as its own internal auditing requirements. In many cases, there may already be records retention policies in place, which should be modified to include electronic records.

Data Security vs Computer & Network Security

RSA is going on this week. RSA is the big yearly gathering of security vendors and specialists where training and discussion take place big time. When I think about RSA, an image comes to mind. A few years back, during the opening Keynote, Art Coviello, the CEO of RSA, came onstage and made a presentation that left everyone with a strange feeling. For twenty minutes, he made the case for how the security industry was failing. He showed statistics about how data breaches were going up, how there were more vendors in the industry, and how more money was being spent on security without a valid return on investment. What was unsettling is that he did not present any solutions to the problem. He was basically presenting the problem to the audience, who he considered the most important security experts in the industry.

I spent last week at Legaltech 2017, and as usual, when you travel out of the office, you often gain a new perspective on things. The show’s focus was all about eDiscovery. The eDiscovery Reference Model (EDRM) has been a great guide to create a common language of what legal teams with an inside council or outside council are required to do as they prepare a case. The EDRM model, and the organization, has been such a good reference that the terminology and structure has been adopted by internal investigations, information governance, and information security. This has also attracted new technologies that question the current model by bringing exciting new innovations to the market.

The healthcare industry is in danger of being overwhelmed by data. Whether on premise, in the Cloud, or in multiple Clouds, managing that data is a major challenge. Without authorized portals or repositories for data, employees often set up their own storage locations in Box.com, SharePoint, or in Exchange on premise. This type of environment can cause a logistical nightmare to manage, control, store, and search for data in an efficient manner.

Mailbox versus Journal Archiving

Posted by Frederic Bourget

Jan 26, 2017 4:49:41 PM

Organizations archive emails for various reasons. Some do it for storage management, others do it for retention compliance, while others do it to enable eDiscovery & Search. Over time, the reasons for archiving, as well as the technology behind archiving, have significantly evolved. From on-premise only systems to cloud systems, different vendors have offered two ways to archive emails: Journal Archiving and Mailbox Archiving. The choice of the type of archiving you want depends on your objectives for archiving. Both have benefits and drawbacks. PST files are Outlook data files that are sometimes used for message archiving or for avoiding mailbox quotas. Sounds like a great idea, but PSTs have the potential to cause serious problems from data loss to security risks to compliance issues. If PSTs are posing a problem in your organization, then you should consider eliminating PSTs entirely by migrating and consolidating PSTs to more cost-effective platforms such as Office 365, Exchange 2013 or 2016, or a cloud or on premise archiving solution like Netmail Archive.
