How to create safe and easily remembered passwords, unique for every site

Posted by Richard Brunette

Jul 2, 2014 10:59:00 PM

We’re told more and more every day that password security is essential.   We’re constantly being asked to create new passwords. We’re also being told not to write our passwords down anywhere or worse, just use the same password for every instance, lest one password give a thief access to your entire kingdom.

There’s a whole laundry list of don’ts which I won’t bother rehashing, but not much advice as to dos. The reality is that this just isn’t feasible. IT Help desks everywhere moan about password reset cases that take up most of their time.

Find out first: Office365 down

Posted by Frederic Bourget

Jun 26, 2014 11:36:00 AM

Over the last few days, Microsoft has suffered major outages to O365 cloud services. This has sent partners and email admins scrambling for information. How can an organization tell when its most critical services are down? Does it have to wait for the help desk calls to come in?

Communication services are critical to the functioning of an organization. As we like to say around here, an organization is a set of people and their conversations. O365 and Lync services are part of what brings an organization 21st century efficiency.

In Response to the IRS' Lost Emails

Last night the Daily Show with Jon Stewart ran a story about an email recovery scandal, what we in the industry call “ediscovery”. If you haven’t seen the segment, you can view it here: http://on.cc.com/1wvZLfi.

I’d like to offer our take on this as a company whose sole area of focus is email. For 13 years, it’s all we’ve done, so if you don’t mind, we’ll call ourselves experts. We help large institutions accurately capture and duplicate their emails, store them securely and search through them.

The Hidden Costs of Email

Posted by Michael Osterman

Jun 19, 2014 10:02:00 AM

Osterman Research and Netmail conducted a large survey of organizations to determine the email system they have in place; the solutions they are using for anti-virus, anti-spam, data loss prevention, encryption, archiving and eDiscovery; and how much they are paying for their email infrastructure.

The median number of active mailboxes in use at the organizations surveyed was 4,650. To gain further insight into organizations’ email practices, we segmented the 365 completed surveys into small organizations (up to 500 active mailboxes), mid-sized organizations (501 to 5,000 mailboxes) and large organizations (5,001+ mailboxes).

After lots of hard work, and a very successful financial year, Netmail shareholders received their profit sharing bonuses before Christmas last year. As a shareholder, I had received profit sharing bonuses in past profitable years, and with it I always chose to purchase something special for myself that normally I might not. It always makes for a very interesting conversation when someone spots my new purchase and asks me about it.

Is Mail Drop for Business?

Posted by Frederic Bourget

Jun 5, 2014 4:10:00 PM

Tuesday, Apple introduced Mail Drop. A new feature of their mail client that allows end users to send a large file transparently even if their mail server limits the size of attachments. They use their iDrive (cloud storage) to transmit the file and the end user sees a link to the file when not using Mac Mail. Microsoft announced something similar at MEC using OWA and Outlook which would allow large files to be sent transparently using Skydrive as storage.

A Paradigm Shift - Is Security Software (as we currently know it) Becoming Extinct?

Posted by Judi Kohn

Jun 3, 2014 10:27:00 AM

After marketing commercial antivirus software for over 25 years, Symantec Corp. recently announced that traditional antivirus software is dead and traditional antivirus tactics are doomed to failure. They stated that part of the problem is that an increasing number of exploits use novel rather than known malicious code, so signature-based defenses plus the use of heuristics to identify Zero-Day vulnerabilities is no longer enough.

Technology. Most of us would agree that it is a key part of the world around us. In the field of technology, the first sixty plus years have seen spectacular progress in all aspects of the domain. Ever shrinking transistors have enabled the production of increasingly complex and cost-effective microchips, a scenario that has driven the surge in technological design. This fits with Moore’s Law, the observation (not a physical law) that the number of transistors on integrated circuits doubles approximately every two years.

Getting Sold on Microsoft Office 365

Posted by Frederic Bourget

May 20, 2014 2:08:00 PM

Why is my Microsoft Rep only trying to sell us Microsoft Office 365? Do I have to go to the cloud?

For Microsoft, the stakes are tremendous. The Microsoft Office Suite, which has been and still is at the center of Microsoft's profits, has hit a wall. For years, Microsoft had been wondering how to add value so that you would buy the next version. But this has become more and more complicated. There are diminishing returns for end users and the barrier to change for new releases are getting closer and closer to that return.

THE PROBLEM

Subject: Medication for New Employee

Hi Betty:

Sorry for the email instead of waiting for your call, but as the insurance agent for your medical group I thought I would ask you a quick question by email as a follow-up to my voicemail. We show that your new employee, Bob Smith, is currently taking Crestor. Since there is no generic for Crestor, can you ask him if he can switch to a generic alternative, perhaps Zocor or Lipitor? This will help to keep your practice’s premiums a bit lower over the long term.

Thanks in advance,

Anne

Secure Passwords with a Roll of the Dice

Posted by Judi Kohn

Apr 24, 2014 10:02:08 AM

Before the severity of the Heartbleed exploit was revealed, weak passwords and passphrases were (and still are) one of the most common computer security flaws. A question that you may wish to ask yourself is whether your organization has a policy to help users generate secure, easy-to-remember passwords or passphrases. This, of course, leads to another question:  what is the most effective way to manage passwords in an increasingly complex online world?

OpenSSL, Heartbleed and Netmail

Posted by Frederic Bourget

Apr 10, 2014 9:46:17 AM

We are just living through the worst online security catastrophe in long time and we will feel the impact of this problem for months to come. OpenSSL library which is used by many websites has a fault. This library is not only used on websites, it is also used by many vendors who provide security products to secure communications. In short, there is a good chance your network security vendor is also using this library in the products you trust to secure your network. For example, on email, TLS, which is used to tunnel emails between two gateways, may be vulnerable. Although the attacker may have to be a bit more sophisticated than a standard web attack, a door is open.
